What this website collects, where it goes, who can see it, and how long it is kept.
Before anything else
If you are in danger
This website is not an emergency service and nobody monitors it at night.
If you or someone else is in immediate danger, contact your local police or emergency services rather than writing here. A message sent through this site is read when someone at the office next opens it.
If you are using a shared or borrowed phone or computer, remember that a message you send and the reply that comes back can be seen by whoever else uses it. You may prefer to write from a device only you use, or to telephone the office instead.
What we collect
Only what you type, and one thing you do not
This site has one form. Everything else on it is a page you read, and reading a page here records nothing about you.
What you send us
The contact and Get Involved forms are the same form. It asks for:
- Your name.
- Your email address, so we can reply.
- Your phone number, only if you choose to give one.
- What your message is about, and the message itself.
What is recorded automatically
When a message is submitted, and only then, two technical details are stored with it:
- A one-way scrambled version of your internet address — never the address itself, and it cannot be turned back into one. It exists so that a machine cannot flood the form with thousands of messages.
- The name your browser gives for itself, which is used for the same purpose.
Where it goes
Two places, both belonging to Speak One Voice
Your message is emailed to the Speak One Voice office and saved in the organisation’s own private database.
Nothing you send is published on this website. It is not shared with other organisations, it is not sold, and it is not used for advertising.
The database it is saved in cannot be read by the public. Only people signed in as Speak One Voice administrators can open a message, and every time one is opened or changed the system records who did it.
The email is sent through a delivery service that carries it to the office address, and the reply-to is set to your own address, so replying reaches you and not the machine.
How long
Messages are not kept forever
Anything caught and marked as spam is removed after 30 days. Everything else is removed after 24 months.
If you would like your message removed sooner than that, write to us and say so, and it will be deleted.
Cookies and counting
No tracking, and no cookie banner to click
There is nothing on this site that follows you to another one.
This site sets no advertising or tracking cookies. The only cookies it uses at all belong to the sign-in of Speak One Voice’s own administrators, and a visitor who never signs in never receives one. That is why there is no consent banner here — there is nothing to consent to.
Visits are counted in aggregate, using a service that sets no cookie and assigns no identifier that could follow you across other websites. It tells Speak One Voice how many people read a page. It does not tell anyone who they were.
